Organizations and Members

In ApplyCycle, an organization brings applicants together around shared grant applications. Create an organization, complete its profile, and invite people who need to work with it. Organization administrators manage profiles and membership permissions; site administrators can also add existing accounts directly. Removing a membership ends the access it granted without deleting the person’s account or memberships in other organizations.

Applications belong to an organization. Each person signs in with their own account, and organization membership determines which shared applications they can access. Select the organization you want to work with before editing its profile, managing members, or starting an application.

The actions available to you depend on the permissions configured for your site and your role in that organization. Organization administrators use Invite member to add people. Site administrators can also use Add member to add an existing account directly.

Create an organization

  1. Sign in with your applicant account.
  2. Open Add Organization.
  3. Complete the required organization details, including contact information and financial status, then select Save.

Creating an organization also creates your membership in it. Its profile and applications are separate from those of other organizations you belong to.

Complete the organization profile

Select the organization and open Edit. Update its contact details and financial information, then select Save.

If the organization is fiscally sponsored, choose the corresponding financial status to display the sponsor fields. Select the appropriate sponsor and complete the requested details. If the sponsor is missing from the list, ask staff to add it.

Organization financial details describe the organization. Payment records track payments linked to an application; they are managed separately.

Invite people or add an existing account

Invite a person

  1. Select the organization and open Members.
  2. Select Invite member and enter the person’s email address.
  3. Choose the organization roles they need and submit the invitation.
  4. Ask the person to accept the invitation and join the organization. If they do not have an account, they first follow the invitation link to create one and complete account setup.

A person with an existing account can sign in, open their account’s Group invitations page, and select Accept, then Join group. Whether an existing account receives an invitation email depends on the site’s settings; ask the person to check Group invitations if no email arrives.

Add an existing account directly

Site administrators can open Members, select Add member, choose the existing user and organization roles, and select Save. The person then has the access granted by those roles. Organization administrators use the invitation workflow above.

Choose or change organization roles

Open Members, choose Edit member on the person’s row, update their organization roles, and select Save.

  • Admin is an organization role for managing the organization profile, members, and invitations.
  • App Manager is an organization role for working with the organization’s applications. It does not grant organization profile editing or the ability to change or remove other members.

Give each person the roles they need. A person may hold more than one organization role. These roles are separate from the site-wide Administrator role.

Work together on an application

After joining, the person can select the organization and open its Applications list. Members work on the organization’s shared records using their own accounts.

Application status and cycle settings can still restrict editing or submission. Membership does not override those rules or give access to another organization’s applications.

Switch between organizations

Use the organization selector to choose the organization you want to work with. The profile and application list change to that organization. Check the selected organization before starting or editing an application.

Remove a member

  1. Select the organization and open Members.
  2. Choose Remove member on the person’s row.
  3. Confirm the removal with Delete.

Removing a membership ends the access that membership granted. The change takes effect on subsequent requests to organization pages, applications, and protected PDF downloads, including from a session that is already signed in.

This removes the membership, not the person’s site account or their memberships in other organizations. Someone with a separate permission, such as a site administrator or an assigned panelist, may still be able to access a particular application. Ask a site administrator to check those permissions if access remains.

Removal does not recall files the person already downloaded.
